Privacy notice
Alisios Travels — internal platform for Alisios Corporation staff.
What the platform is for
It supports the Travel and Expenses Management Procedure: requesting trip budgets, their approval by Finance, recording the invoices and receipts of each trip, their reconciliation by Administration, and their transfer to the external accounting advisors.
What data it handles
Your name and @alisioscorporation.com email address (received from Google when you sign in); your role on the platform; the trips you record (purpose, dates, destination, funding entity, estimated amounts, per diem); the invoices and receipts you upload and their amounts; Finance and Administration decisions and notes; and a record of sign-ins and changes, for security.
Google confirms your identity. The platform never sees or stores your Google password, and it asks Google only for your name, email address and profile.
Who can see it
You see your own trips. Finance and Administration see all trips, to approve and reconcile them. The external accounting advisors receive the reconciled receipts. Nobody else has access.
Where it is kept
Trip records are stored on an Alisios server. Receipts are stored in the Alisios Google Workspace shared drive. Both are included in Alisios backups.
How long
For as long as Spanish accounting and tax law requires Alisios to keep expense records and their supporting documents.
